Terms & conditions

These terms cover your membership of Sevenoaks Model Car Club (“SMCC”) and the bookings you make through smccracing.uk. By creating an account or entering a race, you accept these terms. Please read them carefully — particularly the sections on cancellations, BRCA requirements, and junior drivers.
About the club
SMCC is an unincorporated members' club for 1/10 scale RC racing, established in 1990 and racing at Sackville School in Hildenborough, Kent. We are affiliated to the British Radio Car Association (BRCA) and run our events to BRCA rules.

Your account
You must be 18 or over to create an account. Parents or guardians can create an account on behalf of junior drivers and add the junior as a driver under their account.
You're responsible for keeping your login details secure and for everything that happens under your account. Please tell us immediately if you think someone else has accessed your account.
The details you give us (your name, email, driver details, BRCA number) must be accurate and up to date. You can update them at any time from your account page.
Bookings and payment
Race entries are bookable through the website. You book on a per-driver, per-class basis. A booking is confirmed only when payment has been received (or when no payment is due, e.g. fee-exempt entries).
Current pricing is:
- Adults: £10 for the first class, £5 for each additional class
- Juniors (under 14): £5 per class
Pricing may change in the future. The price shown to you at the time of booking is what you'll pay.
Payments are processed by Stripe. We never see or store your card details. Stripe's own terms apply to the payment itself.
Cancellations and refunds
We understand that things come up. Our cancellation policy is:
- Cancel more than the cutoff hours before the race (configured by the club, typically 24 hours): your choice of a full refund or an account credit for a future booking.
- Cancel inside the cutoff: account credit only, at the committee's discretion. We may decline a refund if the entry can't be reallocated.
- No-shows without cancellation forfeit the entry fee.
If we have to cancel a race (weather, venue issues, etc.), all paid entries get a full refund or — if you prefer — an account credit you can use on a future race.
To cancel a booking, log in to your account and use the cancel option on the booking, or email sevenoaksmodelcarclub@gmail.com.
Note: race meetings are scheduled, dated events excluded from the 14-day “cooling off” period under the Consumer Contracts Regulations 2013. Once you've booked, this cancellation policy applies.
BRCA membership
BRCA membership is required to race at SMCC. New drivers may race for a small number of trial meetings (currently three) without a BRCA number, after which a valid BRCA membership must be on file to book races. The number of trial meetings and BRCA validity rules are set by the club and may change.
You're responsible for keeping your BRCA membership current. If your membership lapses, you won't be able to book until you renew and update the details on your driver record.
Junior drivers
Drivers under 18 must have parental or guardian consent on file before they can book or race. The consenting adult takes responsibility for the junior's conduct, attendance, and equipment at the venue.
We expect a parent or guardian to remain at the venue while their junior is racing. Pit-side help is welcome — but you stay responsible.
Conduct at the venue
We're a friendly club and want to keep it that way. By racing with us you agree to:
- Race fairly and respect race control's decisions
- Treat marshals, committee, and fellow drivers with courtesy
- Help with marshalling duties when rotated to do so
- Respect the venue — clean up your pit space, no damage to school property
- Keep cars and equipment in safe, BRCA-compliant condition
- No alcoholat the venue — we race in a school, drinking on site isn't permitted under any circumstances
- No smoking or vaping anywhere on the school grounds, indoors or outdoors
The committee reserves the right to refuse entry or remove a driver (with or without refund) for unsafe behaviour, unsportsmanlike conduct, or repeated rule breaches. We'll always try to resolve issues informally first.
Liability
You race at your own risk. You're responsible for your own cars, equipment, and personal property at the venue — SMCC and Sackville School aren't liable for damage to or loss of equipment, however caused.
Nothing in these terms limits liability that cannot lawfully be limited — including liability for death or personal injury caused by negligence, or for fraud.
Changes to these terms
We may update these terms occasionally — for example, when pricing changes or BRCA updates its rules. The date at the top of this page shows the current version. If we make a material change (anything that significantly affects your rights or obligations), we'll email registered members before it takes effect.
Governing law
These terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the English courts.
